How to Calculate Your Bond Paper Requirements for Schools and Offices

Ordering too little means emergency purchases at retail prices. Ordering too much ties up cash and storage space. This method gives you a realistic number.
The basic formula
Boxes needed = (sheets used per period ÷ sheets per ream) ÷ reams per box
Confirm the reams per box for the brand you buy, as packaging varies by brand and supply lot.
Step 1: Measure usage
- Check printer and copier page counters, which most office devices record.
- Or count reams used over the last three months and multiply out.
Step 2: Split by size and GSM
Separate Short, Long, A4 and A3, and 70 vs 80 GSM. Each is a separate line in your order.
Worked example: a school
A school of 1,000 students uses about 40 sheets per student per month for worksheets and tests: 40,000 sheets, or 80 reams per month. If each box holds 5 reams, that's 16 boxes a month, or about 160 boxes for a 10-month school year, before records and office use.
Step 3: Add a buffer and set a reorder point
Add 10–15% for examination peaks. Reorder when stock drops to about one month of usage plus the delivery lead time.
Step 4: Order in efficient lots
Our minimum is 100 boxes, and orders of 150 boxes or more qualify for free Philippine delivery. In the example above, one annual order of 160+ boxes would qualify.

Worked example: an office of 50 staff
If each employee prints about 20 pages per working day, that's 1,000 pages a day, or roughly 22,000 a month. That is about 44 reams, or around 9 boxes a month if each box holds 5 reams. Over a year that's about 108 boxes. Ordering a full year at once reaches the free-delivery band. Combining with another branch to reach 250 boxes adds the 5% discount.
Quick reference table
| Sheets per month | Reams | Boxes (5 reams/box) |
|---|---|---|
| 10,000 | 20 | 4 |
| 25,000 | 50 | 10 |
| 50,000 | 100 | 20 |
| 125,000 | 250 | 50 |
Confirm the reams per box for your brand. Packaging varies.
Splitting requirements by size
Once you have the total, split it by size and GSM, for example 60% Short 70 GSM, 25% Long 80 GSM and 15% A4 80 GSM. Then enter each size on our quotation form. Assorted sizes are allowed, and the minimum and discounts apply to the total.
Worked example: a school by grade level
| Level | Students | Sheets / student / month | Sheets / month |
|---|---|---|---|
| Elementary | 600 | 30 | 18,000 |
| Junior high | 400 | 45 | 18,000 |
| Senior high | 200 | 60 | 12,000 |
| Total | 1,200 | 48,000 ≈ 96 reams ≈ 19 boxes |
Over a 10-month school year, that's about 190 boxes for classroom use. Add office, records and exam peaks, and many schools of this size pass 250 boxes a year, which qualifies for a 5% discount when ordered at once.
Using printer counters
Most copiers and printers record total page counts. Note the counters at the start and end of a month for each machine, and you'll have an accurate usage figure to plan from.
Turning the number into an order
Split your total by size and GSM, then enter each line on the quotation form. The form totals your boxes and checks the 100-box minimum. Use the estimator on the bond paper wholesale price list page to preview the discount.
